ATCA Connect: Discover the New Look!

We’re excited to unveil the refreshed design for ATCA Connect! This year, we’re introducing a dynamic and interactive layout centered around the vibrant Park Activity Area. This central hub is surrounded by theaters and exhibits, with all booths strategically facing the Park Activity Area.

Our goal is to foster a more engaging and casual atmosphere, where every participant enjoys equal visibility and access. This innovative design transforms the exhibition hall into a lively and inclusive space, ensuring a productive and memorable experience for all attendees.

The Park Activity Area features:
• All booths face the Park Activity Area 
• Interactive and collaborative zone that includes seating
• All-Day Coffee Cafe 
• EmpowerHER (formerly Women in Aviation) Educational Zone 
• Rising Professionals Expanse 
• Headshot Lounge 
• The large “General Session Theater” is at the end to drive traffic down the aisles and Park Activity Path

On both sides of the Theater, there are tables for meetings, dining, and collaboration with colleagues. 

Several food vendors are included in the Hall to enhance the area and offer food and beverage convenience for attendees to continue with activities in the Hall.

Exhibit Space Fees

Space Only: $65.00 per sq. ft., Member / 
Space Only: $75.00 per sq. ft., Non-Member

Space only is for exhibitors with custom-designed booths and only need to rent the actual space. All booths are offered in 10 x 10 space only  configurations, Space only includes the Pipe and drape (8 foot in back and 3 feet on the sides) and a standardized cardboard sign with your company’s name.

• All organizations can purchase additional 10 x 10’s to connect to their booth, to meet their exhibiting needs
• The largest frontage allowed is 20 feet or two 10 x 10 booths next to each other,
• The 10 x 10 booths on the aisle are depicted with solid lines per the online visual floor plan
• 10 x 10, Frontages can be made into 20 x 20 or 20 x 30 , depending on their location. 
• Signage and designed booths cannot block neighbors for the first three feet (four feet max) on each side.

All items needed can be brought in by your organization via shipping with Shepard or ordered through them to be delivered to your booth and set up.

ALL exhibitors, including Space Only and Co-Exhibitors, will receive complimentary lead retrieval tools.

Exhibitor Insurance:

Liability insurance with minimum policy limits of $1,000,000 per occurrence and $2,000,000 aggregate is required in order to exhibit at ATCA Connect. This insurance must be in force during the ATCA Connect dates November 3 - November 8, 2024, naming as additional insured: ATCA and Walter E. Washington Convention Center. No additional insurance is required for your participation in ATCA Connect.

Additional Space Options
ATCA Connect must approve all custom booths. Booth plans should indicate the name of the event and booth number, specify the maximum number of occupants allowed, and have a structural engineer’s stamp certifying that the platforms can bear the maximum occupant load. Additional safety elements may be required upon Fire Marshal review.

Payment by Check. Please make checks payable to ATCA.

Payment Schedule
All fees are due in full within 30 days of receipt of the invoice. Should a contract be received less than 30 days before the Exhibition setup start dates, full payment must be included with the contract.

Cancellation/Space Reduction

Registration Fee: Non-Refundable

Booth space rental fee refund schedule:

75 % refund with receipt of written 
cancellation by August 30, 2024

50% refund with receipt of written 
cancellation by September 13, 2024

25%  refund with receipt of written 
cancellation by September 30, 2024

No refunds/Credits after October 1, 2024, will be made for any booth cancellations, booth space
reduction or booth type changes.

Exhibition Space Allocation/Priority Placement/Sharing Exhibit Space

Allocation of Exhibit Space

All ATCA Connect Exhibitors who were contracted in 2023 will receive priority placement in the Exhibition Hall for ATCA Connect if their contracts are received by August 1, 2024.  After August 1, 2024, all exhibitor contracts will be placed on a first-come, first- served basis.

A completed Primary Exhibitor Contract must be received before placement in the Hall can occur. 

All placements will be coordinated directly by ATCA Connect Staff based on the size requested and not by booth number listed. The unique floor plan is laid out to support exposure for all exhibitors. 

Exhibitors who wish to move or change/increase in size will be placed on the following criteria. Priority is given first to:
 i. ATCA corporate members.
ii. Then to exhibitor’s company spend at ATCA Connect the previous year. (exhibit space, sponsorship, advertising fees). If the spend is equal, then priority is given in order of contract receipt.
iii. After August 1, 2024, priority placement ends, and all contracts received will be placed on a first-come, first-served basis.
Sharing Exhibit Space
Exhibit space may be shared. There will be one primary exhibitor who controls the exhibit space.  The Primary Exhibitor must complete the contract for exhibit space and be assigned a booth number before a sharing exhibitor (co-exhibitor) may submit a contract to share. Sharing Exhibitors are required to complete the Co-Exhibitor Form and pay the appropriate registration fee.

You will receive an email confirmation upon receipt of your Co-Exhibitor Contract.

All booth construction must be completed by 11:00 am)**

Exhibit Hall Show Day & Hours:
Tuesday, 5 November - 1:00pm to 5:00pm **
Wednesday, 6 November - 8:00am to 6:30pm

Thursday, 7 November - 8:00am to 4:30pm

Dismantle: Thursday, 7 November - 4:30pm -8:30pm & Friday,  November 8 - 8:00 - 11:00 am.

Once you have completed all the required fields and have clicked the submit button, you will receive an email confirmation from ATCA Connect acknowledging receipt of your contract.

Your contract will be reviewed by ATCA staff who will assign your booth a number. Once your booth is assigned, you will receive a second email confirming your booth assignment and providing your login credentials and instructions for accessing ATCA Connect Exhibitor Zone.

Application Fee
Primary Exhibitor Registration Fee: $375
This is a non-refundable flat fee, independent of booth size, that is charged to primary exhibitors.

A Primary Exhibitor is the exhibiting company that is named on the contract for the rental of the
physical exhibit space and has control over the rented exhibit space.

Co-Exhibitor (Sharing) Registration Fee: $1,000
This is a non-refundable flat fee, independent of booth size, that is charged to Co-Exhibitors.

A Co-Exhibitor is an exhibiting company that is sharing rented exhibit space with a Primary
Exhibitor and has completed the Co-Exhibitor contract.

Credit Card Processing Fee

A non-refundable fee of 2.9 % will be applied to all fees paid by credit card. This fee will not apply to bank transfers or check payments.
